Conversation Intelligence records your Zoom meetings without a bot joining the call. Use this guide to know what to expect during a recorded meeting, to pause or stop recording from Zoom, and to confirm your recording appears in Conversation Intelligence.
After completing this guide, you will be able to:
- Recognize that Conversation Intelligence is recording your Zoom meeting.
- Pause or stop the recording from inside Zoom.
- Confirm your recording appears in Conversation Intelligence.
In this article:
Before starting, make sure you have the following:
- Zoom connection: Your admin has connected Conversation Intelligence to Zoom through Zoom Real-Time Media Streams (RTMS). If you are not sure, ask your admin.
- Conversation Intelligence role: You are assigned a recording role. Observers cannot record.
- Calendar connected
Things to Note: This change applies to Zoom only. If you record Microsoft Teams or Google Meet meetings, the Conversation Intelligence bot still joins as a participant. See Record a Meeting with Conversation Intelligence [link].
Your Conversation Intelligence recording settings decide which meetings are recorded. You do not need to add anything to your Zoom meeting.
- Start or join your Zoom meeting: Start or join the meeting as you normally do. No recording bot appears in the participant list.
- Approve the app if Zoom prompts you: If you are the host, you may see a prompt to approve or deny the app when it requests access to meeting content. Select Approve.
- Things to Note: Whether you see a prompt depends on your Zoom settings. A host who joins after the meeting starts may not see the request. If someone else hosts the meeting, tell the host in advance that Conversation Intelligence will request access.
- Find the app in the Active Apps Notifier: Open the Apps control in the Zoom meeting window. The Active Apps Notifier shows which apps are active, who owns them, and what data they access. The app appears with its owner's tile, not as a separate participant.
- Things to Note: Zoom shows the app's name, not a custom bot name. Guests see it too.
- Review the disclosure message: Zoom tells the host and participants: "The content of this meeting is being shared with one or more apps."
- Pause or stop the recording (optional): In the Active Apps Notifier, select the option to pause or stop the app. Anyone in the meeting can do this.
- Things to Note: If you pause and resume, Conversation Intelligence shows everything as a single call, including the blank paused sections.
- End the meeting: End the meeting as you normally do.
- Things to Note: Recording stops when the person whose Conversation Intelligence account is connected to the meeting leaves, unless your Zoom admin turned on continuous streaming.
You have successfully recorded your Zoom meeting when:
- The Conversation Intelligence app appears in Zoom's Active Apps Notifier during the meeting.
- The recording appears in Activity > Conversation Intelligence within a few minutes after the meeting ends.
- The call shows a transcript and an AI summary when you open it.
- If you paused the recording, the call appears as a single call that includes blank paused sections.
- Real-time features: Real-time features, such as battlecards, work during a Zoom meeting only if the Conversation Intelligence desktop app is installed on your device. [CONFIRM: the IRD also mentions Zoom apps in the right side panel. Confirm if this applies.]
- Recording before you join: Recording can start before you join the meeting if you are the host and auto-start is turned on in Zoom.
- Consent: Zoom's disclosure message tells participants that meeting content is shared with an app. The Conversation Intelligence consent page still works, but an audio disclosure message is not possible.
- If your organization uses the API connection: Conversation Intelligence imports Zoom's cloud recording after the meeting ends. Depending on your settings, the recording starts automatically or the host selects Record in Zoom. The call appears after Zoom finishes processing, which can take longer than a few minutes. Pause or stop the recording in Zoom.
Avoid: Looking for a bot to remove. For Zoom meetings, pause or stop the recording from the Active Apps Notifier instead.

Fix
|
|---|
|
The meeting was not recorded
|
The host did not approve the app, or joined after the meeting started and did not see the request.
|
Ask the host to approve the app. For meetings that others host, tell the host in advance.
|
|
Recording stopped partway through the meeting
|
The person whose account is connected left the meeting, or someone stopped the app from the Active Apps Notifier.
|
Check whether the app was stopped. If the account owner left, ask your admin about the continuous streaming setting in Zoom.
|
|
Battlecards did not appear during the meeting
|
The Conversation Intelligence desktop app is not installed on your device.
|
Install the Conversation Intelligence desktop app. See Getting Started with Conversation Intelligence.
