AI Themes analyzes up to 1,000 calls in a single run and returns a structured report of the themes, sub-themes, and representative moments across those calls. You select one of seven preset questions, scope the calls with filters, and receive a cited, quote-backed answer within a few hours. As your list of analyses grows, you can archive analyses you no longer need, restore them later, or permanently delete them.
After completing this guide, you will be able to:
- Run an AI Themes analysis.
- Review a report and the source calls behind each theme.
- Archive and unarchive analyses.
- Permanently delete an archived analysis.

AI Themes analyzes calls across your organization and groups what customers say into themes, sub-themes, and supporting quotes. Each analysis answers one of seven preset questions: Decision Criteria, Customer Pain, Objections, Customer Concerns, Business Goals, Pricing Reactions, and Product Feedback.
You interact with three components:
- Question cards: The seven preset questions on the AI Themes landing page. A card with a Processing pill already has an analysis running, and you cannot start it again until that analysis completes.
- Recent Reports: The list of your analyses and their status (Processing, New, Failed, or complete).
- Report: The completed analysis. It includes a Summary card, themes with the percentage of calls each appears in, and Focus Areas with representative quotes and links to the source calls.
- Go to Dashboard > AI Themes in Conversation Intelligence.
- Review the seven question cards and the Recent Reports list.
- Select a question card to start a new analysis.
- In Step 1 — Configure scope, refine the filters. Date and Teams appear by default. Select + More Filters to see additional filters. If more than 1,000 calls match, a banner explains that only the 1,000 most recent calls are analyzed. Select Proceed.
- In Step 2 — Confirm scope, review the exact call count and your remaining monthly quota. Select Run Analysis.
- In Step 3 — Confirmation, review the message that the analysis has started, then select Got it.
- Find the report in Recent Reports with a Processing pill. You can close the browser tab while it runs.
- When the analysis completes, you receive an email. You also receive a Slack, Microsoft Teams, or in-product notification if you have enabled one. Select the notification to open the report.
Things to Note:
- You cannot cancel an analysis after it starts. Allow up to a few hours for it to complete.
- If an analysis fails, the row shows a red Failed pill. Select the three-dot menu, then select Retry or Learn More. Learn More explains the failure reason and suggests a next step. Retries caused by system-side failures do not use another monthly analysis.
- In Recent Reports, select a completed report. A blue New pill appears next to the title until you open the report for the first time.
- Review the Summary card, which contains four to six key points.
- Scroll through the themes. Each theme shows a % of Calls pill, a description, and sub-theme pills.
- Select a theme to expand its Focus Areas. Each Focus Area shows representative quotes with speaker attribution and a View N call mentions link.
- Select View N call mentions to open a side panel with every source call for that sub-theme. Each mention shows deal context, an embedded video player, and speaker snippets with timestamps.
- Use the top action bar to select Download PDF or Copy Link to share the report.
Archive an analysis to declutter your list without losing the analysis.
- Go to Dashboard > AI Themes.
- Find the analysis and open its ... "options menu.
- Select Archive. The analysis stays in the list, and its title and details appear grayed out. The ... menu now shows Unarchive and Delete.
- To restore the analysis, open the ... menu on the archived analysis and select Unarchive. The analysis returns to the active state, and the menu shows Archive again.
Delete is available only for analyses that you have already archived.
- Open the ... options menu on an archived analysis.
- Select Delete.
- In the confirmation dialog, review the analysis name and the date it was generated. Select Delete to confirm, or Cancel to keep the analysis.
Things to Note:
- You cannot delete an active analysis. You can archive it, download it as a PDF, or copy its link.
- Deleting an analysis is permanent and cannot be undone.
- Deleting an analysis does not restore the monthly analysis credit used to generate it.
Common Use Cases
- Sales leaders preparing a QBR or executive readout can run Objections across the last quarter's calls and present a cited, portfolio-level view of the top objections and how often each appears.
- Product marketing can run Product Feedback on calls filtered to a target segment to surface the language customers use about capabilities and gaps, then use it in positioning, battlecards, and launch content.
- RevOps and Enablement leaders can run Customer Concerns on calls tied to open opportunities to find recurring concerns that inform training, discovery frameworks, and objection handling.
- Customer Success leaders can run Pricing Reactions on renewal-stage calls to see which pricing objections recur, which segments push back hardest, and which quotes to use in a save-the-account conversation.
