In order for your team to leverage Conversation Intelligence, your team must be connected to a meeting platform where they will actually host their meetings.
Teams using Zoom will rely on the one of the following methods to connect to Zoom:
Admins and users can use this article to understand how the Zoom connection works and to compare the two connection options. RTMS is the default option, and your Conversation Intelligence recording settings decide which meetings are recorded.
Things to Note: Organizations that record Zoom meetings with the bot can move to RTMS after November 2, 2026.
In this article:
Conversation Intelligence offers two ways to connect to Zoom.
- Zoom RTMS streams the meeting to Conversation Intelligence while it happens.
- API ingestion, also called the cloud recorder, imports Zoom's own cloud recording after the meeting ends.

How it captures the meeting
A Zoom app streams the meeting's audio, video, and transcript directly from Zoom to Conversation Intelligence. No bot joins.
Conversation Intelligence imports Zoom's cloud recording after the meeting ends. No bot joins.
In the participant list
No bot appears. The app shows in Zoom's Active Apps Notifier and on the app owner's tile.
No bot appears.
Real-time features, such as battlecards
Work only if the Conversation Intelligence desktop app is installed on the device.
None. There is no live transcription.
When the call appears in Conversation Intelligence
Within minutes of the call ending.
Conversation Intelligence checks every 15 minutes, after Zoom finishes processing. Expect a longer delay.
Host approval
Depends on the host's Zoom settings. The host either approves the app or the app is allowed automatically.
Not applicable. Based on your Conversation Intelligence settings, the cloud recording starts automatically or the host selects Record in Zoom.
If the recording user leaves the meeting
Streaming stops when the app owner leaves, unless your Zoom account has the continuous streaming setting turned on.
Recording stops once the host leaves the call.
Recording before the Conversation Intelligence user joins
Recording can start before that user joins, if that user is the meeting host and auto-start is turned on.
Depends on the host starting the recording.
Externally hosted meetings
Host approval is needed. A host who joins late may never see the request.
Cannot be imported. The recording stays in the external host's Zoom cloud.
Pause or stop
Anyone in the meeting can pause or stop the app from Zoom's Active Apps Notifier. Nothing needs to be removed from the call. If the app is paused and resumed, Conversation Intelligence shows everything as a single call, including the blank paused sections.
Pause or stop the recording in Zoom. If the recording is paused and resumed, only the longest recording is imported.
Consent
Zoom shows a disclosure message, and participants can pause or stop the app in Zoom. The Conversation Intelligence consent page works as it does today, but an audio disclosure message is not possible.
Limited to Zoom's own settings.
Which option fits your team
- Choose Zoom RTMS if your Conversation Intelligence users usually host their own meetings. RTMS is the default for every organization moving off the bot. It is less suited to meetings that other people host, because the host must approve the app and recording stops when the app owner leaves.
- Choose API ingestion if your security team restricts third-party apps in Zoom and your team does not need real-time features. API ingestion cannot capture externally hosted meetings, and calls take longer to appear in Conversation Intelligence.
How RTMS differs from the bot
With RTMS, no extra participant appears in the meeting. Zoom shows which app is active and who owns it, and anyone in the meeting can pause or stop the app from Zoom. Zoom also tells participants that meeting content is being shared with an app. Zoom displays the app's name, not a custom bot name, and guests see it too.
