The Email Follow-up Play creates an email task that will remind you to reply to any email response you’ve received.
When you communicate with customers or potential customers, you want to respond to emails promptly. Quick responses in customer-facing roles let your customer know they matter to your business. Urgent responses in a sales role could be the difference between closing a deal and losing to a competitor.
The reality is your computer and phone are bombarded with notifications and reminders. It’s possible to tell yourself you will get back to an email reply later, and then completely forget about it.
When a Person replies to an email, the Email Follow-up Play is designed to help you remember to reply back. The Play triggers an email follow-up task in the event that a reply has gone unanswered.
Things to Note:
- The Email Follow-up Play is enabled for Salesloft teams by default.
- Email reply tracking must be enabled to use the Email Follow-up Play.
- This will exclude Salesloft Mail without Reply Tracking
In this article, you will learn about the Email Follow-up Play, including:
All Salesloft teams will have the Email Follow-up Play enabled by default. This means, there is no setup required for teams to leverage this play.
Things to Note:
- While the Email Follow-up Play is enabled by default, a team admin can disable or edit the play if the default setting doesn’t suit your team.
- Admins can only create one Email Follow-up Play
The default configuration for the Email Follow-up Play includes the following settings:
- Play Name: Email Follow-up
- Signal: When an email reply is received
- Action: Creates an Email Tasks. The Email does not contain a configured template so you can craft the necessary response based on the reply.
- Due Date: 0 hours. This task is due the same day a reply is received.
Admins will be able to enable/ disable the Play. They will also be able to overwrite the default configuration to meet their needs.
Things to Note:
- The Play name will default to the type of play being created.
- If the Play is created from a Framework, the signal may not be edited.
- The Email Follow-up Tasks will be generated as soon as a reply is received. The Due Date field determines when the task appears inside you Rhythm Focus Zone.
Team admins can edit the Due Date for the Email Follow-up play. This would increase the amount of time before the task is added to the Rhythm workflow.
When the Email Follow-up Play is enabled, it will run once a Person replies to an email sent using Salesloft. This Play will create an email follow up task for to reply to the prospect.
Things to Note: If a user replies to an email in Outlook or Gmail, the associated email reply task in Rhythm will be automatically removed. Otherwise, the task will expire or require manual intervention.
So what can you anticipate? How will you actually run an email task from a Play? Let’s walk through a step-by-step example:
- Your team has enabled the Email Follow-up Play.
- You send an email to a Person in Salesloft.
- The Person replies to the email. This signals the Play to activate. An email task will be created to the Person that is due as soon as the reply comes in.
- Due date depends on your team’s configuration.
- The task appears inside your Rhythm focus zone as a prioritized email. The email from the prospect will be threaded in the email task.
- When you progress through your Rhythm workflow, select the tasks. An email window will open. Respond to the message.
- Send the email to the prospect.
