Related Records are People, Account, and Opportunity data associated with a recording.
When you review a recording in Conversations, the related records appear as clickable links that direct you to the corresponding Person Profile Page, Account Profile Page, or Deal where you can learn more about the contact, account preferences, stage of the deal and more.
Salesloft automatically links related records to corresponding recordings, however, you can also choose to manually link any additional records.
From Dialer calls to recorded virtual meetings, the ability to access related records from the Recording Details page gives you the full picture about the conversations you and your team are having.
In this article, you will learn about related records that are automatically linked to Conversations recordings, including:
Conversations automatically links related Person records to the calls. The process used to link Person records differs based on the type of recording: Dialer calls vs virtual conferences. Let’s take a look at how each process works:
Auto-Linking Person Records to Virtual Conferences
Minutes before a meeting starts, Conversations looks for existing meetings and Person record relationship data. If this data exists, Conversations uses it to link recordings to Person records.
If this data does not exist, Conversations will process the recording, identify the external attendee who spoke the longest, and link the recording to this attendee’s Person record.
Auto-Linking Person Records to Dialer Calls in Conversations
Minutes after a call ends, Conversations creates a record based on the call data. Conversations looks for an existing Dialer call and Person record relationship. If this relationship data exists, the Recording is linked to the People ID.
If it is not possible to link a dialer call Recording to a Person record, the Dialer call recording will remain unlinked, i.e. there will be no Person record data on the Related Records tile.
Conversations uses in-house data to automatically link recordings to Account and Opportunity records.
To automatically link Account and Opportunity records to recordings, Conversations scans your meeting attendees list and selects the first participant with an external email address.
Conversations then uses the external participant’s email address to search for an Account associated with that contact. If an Account is found, Conversations then searches for an associated Opportunity with the furthest closing date.
If the participant’s email is not associated with an Account, Conversations will find an Account with a similar email domain. If an Account is found, Salesloft will link the Account and the Opportunity the same as outlined above.
There is no setup required to automatically link Account records to recordings. To ensure that Opportunities are automatically linked to recordings, an admin must map the appropriate Opportunity Field Configuration settings. Mapping the appropriate Opportunity Field Configuration settings also allows the Opportunity data in your CRM to sync with Salesloft.
Things to Note:
- Conversations will not automatically link to Accounts if there is no associated Opportunity present. In this case, the recording must be linked manually to these objects.
- Manual linking does not push the recording to the Account, Person, or Deals feed.
- If only closed opportunities are found, Conversations will link the Opportunity with the furthest closed date.
